This document is PHB's working framework for our privacy policy. 

Who we are

PRO HOOPS BLUEPRINT LTD, trading as Pro Hoops Blueprint ("PHB"), is the data controller for personal data processed through this website and our programmes. Registered company number: 17272816. . 

Information we collect

  • Enquiry details submitted through the Work With PHB form: organisation, contact name, role, email, telephone, location, programme interest, participant numbers, age group, dates, budget or funding information and your message.
  • Programme delivery information provided by partner organisations, such as registers, consent forms and emergency contact details.
  • Limited technical information required to operate and secure the website.

Why we process it

  • To respond to enquiries and provide quotes and programme proposals.
  • To plan, deliver and safely staff agreed programmes.
  • To meet safeguarding, health and safety, insurance and funder reporting obligations.
  • To keep records required by law.

Lawful bases

We rely on legitimate interests for responding to organisational enquiries, contract for delivering agreed services, legal obligation for safeguarding and statutory record keeping, and consent where consent is the appropriate basis (for example photography).

Children's data

Where PHB processes data about children and young people, this is normally done on behalf of, or jointly with, the commissioning organisation. Registers, medical information and emergency contacts are collected only where necessary for safe delivery, kept securely, and retained only as long as required.

Sharing

  • With the commissioning organisation for delivery and reporting purposes.
  • With statutory safeguarding partners where there is a safeguarding or legal requirement to do so.
  • With service providers that support our operations (for example website hosting and secure form storage).

Retention

Enquiry records are retained for the period stated in our retention schedule: 365 days. Safeguarding records are retained in line with statutory guidance.

Your rights

You have the right to be informed, to access your data, to rectification, to erasure, to restrict processing, to object, to data portability and to withdraw consent where processing is based on consent. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).

International transfers and security

PHB uses appropriate technical and organisational measures to protect personal data. Where data is processed outside the UK, appropriate safeguards are applied.

This document is reviewed at least annually, or sooner following an incident, a change in legislation, or a change in PHB's delivery. Date of last review: 7th September 2026. Date of next review: 7th September 2026.
