Photography & Media Policy

Principles

• Images and video are only taken where appropriate written consent is in place.
• Consent is obtained through the commissioning organisation wherever it holds the participant relationship.
• Consent can be withdrawn at any time and is checked before each programme.
• Participants who do not have consent in place are not photographed or filmed.

Taking images

• Only PHB staff or an agreed photographer may take images at PHB activity.
• Images are taken on PHB devices or devices agreed with the partner organisation.
• Participants are appropriately dressed and images focus on the activity.
• No photography or filming in changing areas or toilets under any circumstances.

Using images

• Images are used only for the purposes described at the point of consent.
• Full names are not published alongside images of children or young people.
• No personal contact details are published with any image.
• Partner organisations are consulted before images from their sites are used.

Storage and retention

Images are stored securely with access limited to those who need it, and are deleted when no longer required or when consent is withdrawn. Retention period for programme imagery:365 days.

Requests for removal

Review and contact

This document is reviewed at least annually, or sooner following an incident, a change in legislation, or a change in PHB's delivery. Date of last review: 7th Sept 2026. Date of next review: 7th Sep 2027.
